How to track private investments

A useful record answers three questions: what do I own, what changed, and what do I still need to verify?

Track facts, dates, and sources together

Record the original capital, ownership units or percentage, issuer, governing documents, current stated value, valuation date, distributions, fees, debt exposure, maturity, lockup, redemption, and exit terms. Attach a source to each fact. A number without its date and source becomes difficult to trust later.

Preserve unknowns

Do not fill gaps with estimates just to complete the table. Mark unknown values explicitly and turn them into questions for the sponsor, manager, borrower, or company. Review valuations and expected distributions for staleness, and preserve prior snapshots so a changed term is visible.

A monthly or quarterly routine

  1. Record new cash distributions.
  2. Update dated statements and sponsor communications.
  3. Compare changed terms against the prior entry.
  4. Review maturity and redemption deadlines.
  5. Export a private backup.
